Who doesn’t need to work more efficiently? I know there are days I am a Rock Star and use my time wisely. There are other days where the distractions win, and I end up watching videos on how to paint an old piece of furniture. (Like I could EVER do something like that!).
Whether you have employees, or are a leader of yourself, effective time management is a critical skill for every leader. With meetings, urgent emails, text messages, DMs, and constant decision-making, leaders often find themselves struggling to balance their responsibilities and maintain productivity. Sound familiar?
Time management strategies are not about cramming more tasks into your day. It is about making strategic choices that align with your goals and values. By implementing some, or all, of these strategies, we can ensure that every minute contributes to our overall success as a leader.
If your New Year’s resolution was to work on your time management, here are some smart strategies you can help put in place to conquer your time.
Understanding the Challenges
Leaders face unique time management challenges that can impede their effectiveness:
- Meeting Overload: Anyone else spend a significant portion of their day in various meetings or on the phone? This type of schedule can leave little time for focused work.
- Information Overload: I am the clog in our office funnel. Over the years I have made myself the primary point of contact for critical issues. On some days I am bombarded with urgent requests and emails.
- Balancing short-term demands and long-term vision: Being proactive is a trait all leaders need to cultivate. Yet daily we juggle immediate tasks while simultaneously planning for the future.
Phew, I am exhausted. How about you?!
Effective Time Management Strategies
Prioritize Ruthlessly: Use whatever tool works for you (e.g. Eisenhower Matrix, A / B / C, or Eat the Frog) to categorize tasks based on urgency and importance. Focus on completing high-impact (or revenue producing) tasks first and delegate or eliminate less critical ones. Yes, the less critical ones are easier, and you can cross them off your list – but ask yourself. Do they need to be on your list?
Plan Proactively: Block out dedicated time slots in your schedule for focused work on priorities. Work best in the morning? Afternoon? Know yourself and choose your time proactively. Use calendars and project management tools to keep track of appointments and deadlines.
Embrace Delegation: UGH, the hardest one for me. My little “I can do it myself” self struggles with this one. So, let’s do this together. Empower team members (yes, your Virtual Assistant is a team member) by assigning tasks that match their skill sets.
Minimize Distractions: Create an environment that allows for deep focus and concentration. For me this includes noise canceling headphones, do not disturb on my phones, and boundaries. What do boundaries look like for you? I generally do not take calls before 10 so I have those early hours to do my higher priority tasks.
Implement Time Blocking: Allocate specific time blocks for different projects or tasks. Did you know most computers have a “focus time” timer? Game changer! I know people that use a kitchen timer – whatever works for you!
Utilize Technology: Leverage time-tracking apps (e.g. Toggle) and productivity tools to help you better understand your work patterns and optimize your schedule. In order to do this be self-aware and pay attention to what you are doing when.

There are some days where it works brilliantly, and others well life gets in the way. Bend, adjust, pivot, and start fresh the next day.
